Cancellation & Refill Policies.
At Nashville Creatives Club (NCC), we design our events to deliver meaningful, collaborative, and professional creative experiences. Because participation is limited and each event requires significant planning and investment, the following policies apply to all cancellations and no-shows.
1. Cancellations & Credits
All event registrations are non-refundable.
If you notify NCC that you cannot attend at least 48 hours before the event, you may transfer your payment as a credit toward a future event (credit must be used within 3 months).
If you cancel less than 48 hours before the event or fail to show up, your payment is forfeited — however, if your spot is successfully filled by another participant, you may receive a 50% credit toward a future event.
2. No-Show Policy
If you do not attend and do not notify us in advance:
No credit or refund will be issued.
Repeated no-shows (two or more) may result in temporary suspension from future events or placement on a waitlist-only status for future registrations.
3. Transfer Options
If you are unable to attend, you may transfer your registration to another participant. The new participants must apply and be approved be the NCC team, and they must be same style of creative as you. For example, a photographer must transfer to another photographer.
4. Emergencies
We understand that emergencies occur. If you experience a medical or family emergency, please contact us as soon as possible. These situations are reviewed on a case-by-case basis, and a full or partial credit may be issued as a courtesy.
5. Spot Refill Process
If a cancellation occurs within 48 hours of the event, NCC will make every effort to ensure the spot is still used.
The open spot will first be offered to NCC members via text on a first-come, first-served basis as a comped (free) ticket.
Members are eligible to claim a maximum of one (1) comped last-minute spot per quarter to ensure equitable access.
If no member claims the spot, NCC may offer it to past participants or post it publicly.
If the spot is filled, the original registrant may receive a 50% credit as outlined above. If it is not filled, no credit will be issued.
6. Our Commitment
These policies exist to support fairness, professionalism, and sustainability across all NCC events. They ensure that opportunities are fully utilized, events remain accessible, and our community continues to thrive through reliable and collaborative participation.
